Recording and consent

What we keep, and what we never record.

The short version

VoiceReason records practice calls only. A practice call is a conversation between one of your people and an AI buyer that we operate. There is no customer on the line and no third party on the line. We do not record real sales appointments, and the product has no ability to do so.

Practice calls are recorded, and the line tells you so.

The notice says recorded because that is exactly what happens. The conversation is captured and kept, as audio and as text.

What gets kept

For a practice call we keep the audio, the transcript, the coaching report generated from it, and basic call details such as the time, length and the access code used. Not every call produces all of these, and your account shows what exists for each call.

The service that runs the call keeps its own copy of the audio along with the transcript, under its own terms.

Where a call has audio you can play it in your account and download it, and you can download the transcript.

Why we keep it

The coaching report is produced from the transcript. The account owner can also read the transcript to see the coaching in context.

Who can see it

The person who made the call receives their own report by email. The owner of the account the access code belongs to can see the calls, transcripts and reports made under that account. Nobody outside the account can see them.

We do not sell anything we hold from a call, we do not share it with other customers, and we do not use your practice conversations to train models for anyone else.

Deleting it

You can ask us to delete what we hold for a call at any time, meaning the transcript, the coaching report and the audio, for a single call, for one person, or for a whole account. Email privacy@voicereason.ai from the address on the account and we will delete what we hold for that address from our own systems within 30 days. If we are legally required to keep any of it, we will keep that and tell you. Our voice provider keeps its own copy under its own terms, as described in our Privacy Notice.

Closing an account starts deletion of your call material: the audio, transcripts and coaching reports we hold in our own systems. A limited set of records survives closure where the law requires it or where we need them for tax, accounting, dispute and fraud-prevention purposes, including the record of what you agreed to when you subscribed. Our Privacy Notice sets out what is kept and for how long.

If you called our free line and did not create an account, email privacy@voicereason.ai with the phone number you called from and the approximate time. We will search our records on those details and delete what we hold for any call we find, from our own systems, within 30 days. The service that runs the call keeps its own copy of the audio under its own terms, and our Privacy Notice explains what that means. If we are legally required to keep any of it, we will keep that and tell you.

State recording laws

Some states require every person on a call to consent to being recorded. The notice is how we obtain that consent, and continuing the call is how you give it.

A practice call is between your rep and our AI buyer. The product does not place or join calls with your real prospects, so your own customers and clients are not recorded by it. If you use a separate tool to record real appointments, that is between you and that tool, and the laws that apply to it are not covered by this page.
